No matter whether your company is investigating off-site, secure document storage as an extension of your active file room or is simply interested in archiving records or documents, GRM’s safe, secure records storage centers, advanced technology and personal, attentive customer service can make your records and document management program more efficient. Companies large and small including law, accounting and architecture firms, banks, brokerage houses, non-profits and other organizations have entrusted their business-critical document management to us. Here are a few reasons why:
Secure Records Storage Centers
In major cities across the United States, GRM records centers are strategically located to effectively serve primary business centers. With more than 3 million square feet of storage space, even the most demanding document storage requirements can be accommodated. Each facility features 24/7 state-of-the-art security and the protection of comprehensive fire suppression systems. Customized shelving allows for the storage of all size boxes. Comfortable, private access rooms are available for on-site viewing, and spacious staging areas facilitate a variety of records management projects. Of course, full office amenities including telephones, fax machines, copiers and computer lines are always at our clients’ disposal.
Scanning and Document Management Technology
Since our inception, GRM has employed 100% use of barcode technology. Each storage container and shelf location is assigned a discrete barcode number, assuring 100% accurate tracking and monitoring. Online document imaging services, including complete database capabilities afforded by our web-based eAccess inventory control and order request application, are user friendly and give access to a multitude of useful standard and customized activity reports. All records center personnel are equipped with laser scanners. Similarly, each GRM driver is outfitted with a laser scanner and portable printer to output scanner-validated receipts. Plus, he carries a wireless radio to maintain contact with the Dispatching Group. All deliveries and pickups are monitored in real time via Digital Dispatch, GRM’s proprietary, real-time fleet management and performance software. Overseeing all of GRM’s scanning and document management technology is a full-time, in-house IT Group including Application Developers, Systems Engineers and Telecommunications Specialists.
Customer Service
GRM's offsite data protection and information management staff is ready to serve our clients every day of the year, 24 hours a day. Live customer assistance is never more than a phone call away – even during evenings, weekends and holidays. Importantly, all orders are directed to and processed at your local GRM secure offsite records center. All retrievals are performed by GRM personnel and vehicles and adhere to the strict procedures and protocols of our Precision Plus Process. Deliveries can be made as fast as within two hours of your order (Next Day and Same Day service are available too). Better yet, all deliveries and pickups are scanner-validated for 100% accuracy. And your local GRM Account Executive and Client Service Manager are always ready to respond to inquiries.

GRM Customer Handbook
GRM has created an invaluable tool for its customers to get the most out of GRM’s vast array of services. After interviewing both customers and prospects to see what they would like to see in a Customer Handbook, GRM got to work. What was developed is a description of how to use each form and service offered by GRM. Also included, as suggested by the end user, is a section that can be used to centralize and maintain all contracts, Authorized Personnel forms and other important GRM documentation. Most importantly, managers can now use this handbook, also supplied on CD, to train other employees, saving hours of training, increasing efficiency and ultimately creating standardization. Feel free to take a walk through a sample of GRM’s Customer Handbook. This is just another example of GRM listening and responding to its customers.
GRM eAccess Handbook
What started out as a simple tool to allow customers to view their inventory via the internet, eAccess, GRM’s proprietary solution, has evolved into a sophisticated tool to quite literally manage all your information management needs. You can pull up images, view activity, establish sophisticated retention schedules, manage compliance enforcement, and more – from your desk, virtually, on-line. GRM has created a complete guide to using eAccess which includes a System Overview, System Setup and Daily Use instructions. As with GRM’s Customer Handbook, with the eAccess Handbook managers can now use this handbook, also supplied on CD, to train employees, saving hours of work. Feel free to take a walk through a sample of the GRM eAccess Handbook. The eAccess Handbook is another example of GRM’s commitment to putting technology in the hands of its customers in a user friendly format.
GRM Precision Plus Process
GRM has created its Precision Plus Pick Up Process and the Precision Plus Delivery Process to insure that we do everything the same way, the right way, every time. We leave nothing to chance. 100% accuracy, without exception.
