From pre through law, school administrations are handling 1,000's of documents on a weekly basis.

Consider student records, inter-office memos, meeting agendas and any number of other materials printed up only to be stored into filing cabinets or boxes after use. Some of that information is sensitive and most of it needs to maintained and organized.

Document Storage is a perfect solution. GRM can offer hard-copy storage, electronic back-up and certified destruction to keep the constantly produced paperwork in order.

GRM facilities are secure, using cutting-edge technology, and all data, electronic as well as physical, is available upon request. A school's administration has to operate like a well-oiled machine and a document storage plan can help to keep it running smoothly.

Where Has Everyone Been?

It's no secret that I've been writing about the value, importance and need for companies, big and small; local, regional, national – any company, to invest in some type if Information Management System.

Committing to Document Storage, Certified Destruction or Data Protection is viable business expense. And, not surprisingly, someone agrees.

Apparently there is a whispered rumor spreading through the digital world that Google, a web monster in the fleeing land of internet surfers, might be devising a way for everyone, not only business but also individuals, to secure their files and information.

GRM has more than a 20 year start. These documents need not only to be readily available but also securely stored.

That task will inevitably become an impossibility, as new documents are created and old ones are still needed. Space will eventually run out.

GRM can help to solve this issue, with Document Storage facilities across the country.

Read about a 20,000 Box move that helped a Chicago Law Firm with its storage needs.

And, as the older documents are no longer needed, GRM can help with Certified Destruction.

Keeping Up With the Industry

It's important for any business to stay informed about new products and technology. A company that remains on the cutting edge of its industry is closer to success than one that lingers with outdated tools.

Moishe's Moving Systems is no different. We are constantly learning about new products, updating to current software and creating our own brand of 21st century business.

This week in San Antonio, Texas the General Services Administration Expo is taking place, and it's a great way for a group of company's to show off their innovations and for the rest us to see what's new out there.

I've talked in the past about some of the ways we're updating the company to not only meet green standards but to be on the forefront of green business.

We'll be interested in checking out some new green technology and innovations in the information and document storage world.

GRM Storage Plays a Role in Film & Video Protection

Artists flock to New York City. And a growing number of those creative people are working in the world of film and video.

With the complexities that go into production - pre, during and post alike - the time-consuming nature of the business and the endless amount of details to consider, something like storage and protection for your film and video media can get lost in the shuffle.

GRM's media vaults are an easy solution to find before the problems of corruption by weather, dust and age arise. The vaults are built to meet the strict fire resistant construction standards of the American National Standards Institute and the National Fire Protection Association. The environment, which is designed to preserve and secure video and film, is equipped with an independent HVAC system and computer-monitored to maintain a temperature range between 65 and 68 degrees and relative humidity between 35% and 45%. Key pad entry, motion detectors, CCTV and an interlocking sprinkler and a pre-action smoke detection system offer state-of-the-art security and protection. And the vaults are strategically located to provide rapid turnaround to broadcast and production centers.

Have GRM worry about your media, so you can handle everything else!

What's Good for the Pres. is Good for You

President Obama recently announced a CyberSecurity plan that will help to defend the nation against cyber attacks.

The President of the United States is taking Electronic Security and Identity Theft seriously, so should you. It is a problem that is affecting thousands, and it just makes sense to take precautions.

For Identity Theft, a service such as Certified Destruction is always a good idea. Legislation about document security and destruction is constantly changing. It's more practical to have a company, with experts dedicated to following procedural changes, handling the details of
Document Storage and Certified Destruction.

Identity Theft is not the only electronic threat to your company's data integrity. Computer Viruses can be disastrous. GRM's Electronic Vaulting can solve that problem. By backing up your office's data, it's safely stored away if the worst happens.

GRM IMS offers these and other services to help protect and secure your company's sensitive data.

Hospital Help

There are literally dozens of hospitals in New York City alone. Let's not forget all the clinics, private practices and specialists too.

Add up all of those patients and you get millions of documents; every piece of paperwork for every person that's admitted, has an appointment or needs a prescription.

For even the smallest practice, it's a monumental job that requires coordination and an attention to detail. It also requires space and confidentiality. Every office or hospital has a system, a plan of attack, to maintain those records, but often the space is limited.

GRM Document Storage is solution to that problem.

With a detailed filing systems and a comprehensive record management program with up-to-the-minute technology in use, GRM is a leader in Document Storage.

The 24/7 security and availability create the perfect facility to maintain the integrity of important files that aren't needed on a daily basis.

Patients are always first, and you can keep it that way with a professional Document Storage company to help with paperwork.

Business Ethics

It's a term that often brings with it an oxymoronic connotation. Especially now, given the current economic cloud cast over the country, there is prevailing opinion that Big Business is equal to Bad Business.

Unfortunately Sears Holdings Management Corp. has lived up to that reputation. The company admitted to installing spyware on the home computers of many customers under the guise of a survey and online shopping community. Area to accommodate the needs of most offices.

Due to the personal nature of the information that each agency must deal with, many require a trained archivist to handle their more sensitive information. GRM IMS can take on as much or as little of the information management process as necessary.

Even the Government Has Trouble Protecting Information

Today in the New York Times, there was a web article about a sensitive government document – related to nuclear plants in the U.S. – that was accidentally published on a public government website.

Most experts say that there is little to worry about since a majority of the important information was “already known publicly.”

While the government assuredly has some of the most sophisticated document protection software at its disposal, if it can some times allow breaches what about your company's private information?

This isn't to scare CEO's into purchasing services or software, but to raise awareness of how simply these lapses in protection can be.

Electronic Data Protection and Document Storage can often be the solution to these lapses.

GRM offers services like Data Protection and Records Management, while GRM EDM offers the same assistance for electronic information.

Document Storage Simplified

In order for a company to use a service to its maximum potential, there is a need for the personnel to understand the particulars of that service.

From time to time, I'll try to simplify elements of GRM and Information Management Services.

Today we'll talk a little bit about one of the most basic, yet primary function: Document Storage.

Some elements of Document Storage include: storage & archiving, security, retrieval and destruction.

Storing documents can be an overwhelming process when you consider the sheer volume of paperwork that some corporations produce each year. Often the state and government can require a company to keep this information for up to six years. That is a massive amount of past paperwork, and storage becomes a necessity. Storing this information can be done in two ways: either by organizing and packing the files away in a secure facility or by Digitizing the information and retaining it electronically.

By keeping detailed records, the files themselves and/or the digital information is archived and ready for retrieval if your company needs the information for any reason.

The facilities used for storage are all secure, protected by surveillance and security, in order to maintain the integrity of a company's information.

If there is no longer a need for this information, Certified Destruction is a way to safely eradicate any files or records in storage.

Using these kinds of services can help to streamline a corporation's information output and help to maintain its organization.

Moving Your Office? It's OK!

Last week we discussed the possibility of downsizing, and the need for storage when files and information needs to be kept, organized and protected until everything can be sorted out.

Document Storage can also be an invaluable tool when it comes to expansion.
When changing locations, or opening a new office, there is still a need to maintain a constant flow of organized information. It's essential to keep the business running smoothly, and to sustain good faith with customers.

Use the opportunity of relocating to organize your working files. With a comprehensive examination of your files, you not only can decide which files you need for the move and which you can store to make the transition go more smoothly, but you can also determine which files have to be destroyed.

GRM can help keep the needed files safe and organized, while also destroying unused files securely.

Everything is up to you!

Crystal Balls and Business Strategies

The object of every company is to grow, to expand, to succeed.

From every CEO down to entry-level executives, business plans and stratagems are focused, reformed and implemented in order to aid the process of expansion.

Forecasting is essential to success, but can sometimes be an impossibility. Given the tenuous nature of the economy nothing is a definite and all possible ideas need to be explored.

With that in mind, your companies records and documentation is extremely important. Past patterns and strategies can point toward the direction the future might take. There is a need to maintain all records in an organized and safe way.

There is also a six year requirement to maintain all company records imposed by the government on all businesses. Maintaining accurate and orderly records over six years can be difficult and a space eater. The decision to use a document storage company can help with both.

With over 20 years experience, GRM is a leader in providing information management solutions. From data protection, imaging, certified destruction, film storage, hard copy, and more, GRM understands that information management means more than a secure facility and on-time deliveries.

Downsizing = Streamlining

It's not a secret that the current financial storm has sadly washed away employees, departments and even entire divisions within companies. The situation is an unavoidable one, with businesses having to lay off men and women in order to stay afloat.

Aside from the expected rammifications of a tense atmosphere in the office and scrambling to stay above the red line, there could be some unforeseen side effects as well.

With downsizing comes consolidation, the merging of positions and responsibilities, and that may leave a paper trail of unneeded documents and information. All this content presents a problem for your business' security.

GRM can safely and securely destroy all documents and digital media that your company no longer has a use for.

There are many steps that need to be taken in order to ensure that your company's information is secure, Certified Destruction is a good place to start.

Small Offices Still Need Big Protection

Working from home offers a sophisticated level of comfort to your business.

Things work on your clock, and the tedium of 'midday' can often be curtailed by any number of distractions not usually available in an urban office.

The relaxed atmosphere and the comforts of home are elements that many business owners relish, but they lend a false sense of security when it comes to information management solutions.

Events common to residential neighborhoods – such as natural disasters and power outages – and even occurrences common to major offices like computer and file corruption can have major effects on a home office.

Using a data protection system to back up your data can only add to the comforts of a home office.

Did You Get That E-mail?

In a 2006 study, IBM found that “E-mail has become the most pervasive form of business communication...90% of corporate communication is driven by e-mail”

From sending out a quick company-wide memo to communicating with a colleague across state or country lines e-mail is the simplest way to handle your business' day-to-day minutia.

It's even a common way for company personnel to resolve issues, pass along instructions and help the organization grow.

In short, e-mail is everywhere. It's now an essential part of just about every company across the globe. If your company's email system fails, it could be disastrous; a blow from which your company cannot recover.

Anything from connectivity loss to natural disasters can cause e-mail outages. ECM systems also support virtual workers, allowing them to access business critical information online from any location . . . Save time by automating processes: Reduce the time it takes to process invoices, purchase orders, insurance claims, sales contracts and resumes from days to minutes. Simply scan a document into your ECM system that will automatically route the document to relevant groups or departments, eliminating the need to circulate paper and save time.

A Way to Green IT

There's an interesting article on SeaCoastOnline today discussing the many ways managers can green a company's IT. The author proposes a number of techniques, including recycling your eWaste, virtualizing your server structure and, most importantly in our case, introducing a comprehensive electronic document management system. GRM offers clients the benefit of dependable EDM services, and we've also virtualized our own server systems. If one of your primary goals is reducing your carbon footprint, we've got the means and the technology to make that a possibility.

From SeaCoast:

Document management technology, sometimes referred to as paperless office, also offers a very cost-effective way for a business to become more green. How much paper is wasted in your office? How much paper is stored in your office, year after year? That storage has a cost. If you use a records management service, there is a potentially large monthly cost associated with keeping your paper at a location other than your own office. If you use an efficient document management system, they can all become electronic, which can also be made more secure than paper, costs less to store and generates less waste.

Document Management in India

It's always interesting to get a look at what you're industry is doing in foreign markets. I keep extremely close tabs on news within the document management world here in the states, but every once and awhile some info pops up on trends in the UK or Asia, and today there's a great article on the state of the industry in India. The Indian website, NetworkComputing, has an excellent Q & A running on their site with a leading professional. In it he discusses the DM trends within the Indian business world, as well as what seems to be driving those trends.

From NetworkComputing:

Companies in India are phasing out conventional imaging solutions and adopting one vendor approach that can help consolidates their content and tag compliance based document lifecycle. They are looking out for a software solution where digital rich media, user desktop folder, office communication, customer documents and also digitized customer papers are stored in a searchable robust eFolder. Another trend is data archival, which otherwise was untapped by Enterprise Content Management (ECM) vendors or the older imaging solution providers. The financial services and telecom industries have already started to deploy enterprise content management solutions primarily because of the large volumes of data they have to secure and update. Now, even the government and manufacturing sectors are realizing the need to automate and access their content.

Certified Hard Drive Destruction

One of the most overlooked services GRM offers our clients is certified, secure and environmentally friendly hard drive destruction. Consider this:

- 235 million Electronic Units have accumulated in storage over the past 20 years

- Approximately 40 million computers became obsolete in 2007

- The majority of computers that are "recycled" are actually outsourced to other nations

All of these figures highlight the need for every business to find greener, more successful ways to dispose of their office electronics. GRM's definitive hard drive destruction process both gets rid of your old hard drives and ensures that the sensitive data within will never fall into the wrong hands.

Government Exploring Green IT

In a fascinating article from Baseline Magazine, one author takes a closer look at the current trends in government agency information management. The main findings show that more and more government departments are moving toward greener IT, which definitely means that electronic document management is on the horizon. It only makes sense, since efficiency and security are both such huge concerns in government.

From Baseline:

The National Association of State Chief Information Officers, an industry association based in Lexington, Ky., indicates that IT consolidation, security, resource sharing, Web 2.0, e-records management, and data and document management will be among the top priorities for its membership in 2009. Spending increases in the federal IT market are expected to slow down in the next several years—to just under 4 percent annually—after experiencing an average of 7 percent growth a year for the last two decades, according to INPUT, a market research firm in Reston, Va. INPUT projects that federal government IT spending will increase to $83.4 billion in 2009, up from $80.8 billion in 2008.

Visit our eAccess Digital Tour

In an effort to educate potential clients on the ease with which they will be able to navigate our eAccess program, GRM has posted a 4 minute showcase of the program on our website. As we increasingly rely on email communications, many companies feel that an effective program to backlog those communications has become non-negotiable. Additionally, many business owners and records management heads have become aware that digital document management will save them money. There are some interesting statistics available in this article, and I'll provide some of them below. Follow the link for full text.

From TechTarget:

In a Dec. 2008 report, Stamford, Conn.-based Gartner Inc. predicted that spending on e-discovery software technologies and service offerings will grow between 25% and 35% through 2012. A SearchStorage.com survey conducted this year showed that just 14% of the 657 respondents have implemented or will implement e-discovery tools this year. One key change that drew the attention of corporate legal counsel were the 2006 amendments to the Federal Rules of Civil Procedure (FRCP), which govern civil actions in federal courts. For the first time, the rules spelled out obligations for preserving electronically stored information (ESI).
