Document Management Reduces Costs, Boosts Productivity

In an article today from Industry Week, the author discusses the many merits of utilizing electronic document management. In addition to helping your office to go paperless, reducing the cost of buying paper, renting the space to store it, and hiring the hands who will locate files you need - electronic document management also streamlines the filing and retrieval process -boosting productivity dramatically. A quote from the article:

"Manufacturers all across the country are putting automated electronic document management systems in place to run operations more efficiently. Replacing physical documents with electronic document work flows boost productivity, because electronic document management offers companies much more control and flexibility compared to paper. When documents of all kinds, shapes and sizes, from architectural layouts to the monthly bills are easily viewed, accessed and stored in an electronic document repository (in their original formats), efficiencies soar."

This piece raises many good points about the benefits of electronic document management. GRM has many affordable, easy to use programs that can help your office to go paperless immediately. For more information, please feel free to visit our website.

Document Management Is Crucial to Going Green

A recent article out of the UK discusses how a solid document management program is at the heart of any company's goal of Going Green. GRM has already virtualized our server infrastructure, making us one of the most enviro-friendly document management facilities on the East Coast, and after reading this article, you may learn more about what we can do to help your business cut back on it's carbon footprint. A brief excerpt from the article:

"Document management systems are therefore the key to achieving carbon neutrality by 2012. These systems replace the printing-out, postage and manual filing of documents with electronic processes for document creation, delivery, authorisation, management and storage. By moving to electronic document management systems, organisations reduce paper-use and significantly cut CO2 emissions by eliminating toner cartridges whilst also reducing the need to print, photocopy and transport documents."

If you're interested in reading the piece in it's entirety - I've linked at the top of this post. If you'd like to learn more about GRM's enviro-friendly document management solutions, please have a look at our Website.

The Ups and Downs of the Paperless Office

There's an interesting article up on legal website - law.com - that discusses the many perks and perils of making the transition to a paperless office. GRM works with many legal firms across the country and we certainly have a lot of experience with the effort (and subsequent benefits) that goes into assisting legal offices into a greener, paperless office.

I think the article does a good job of summing up a complicated process into a single concise piece of writing. Topics like state and federal requirements, as well as other subjects like e-Filing are all covered masterfully. If you are partner at a legal firm and are considering going paperless, you should have a look at the many solutions GRM offers for Legal Firms on our website.

Document Management Solutions for Government

We've discussed at length on this blog the many reasons that investment in document management services is so crucial to any business. What I'd like to focus on today, is how GRM and a solid document management plan can be beneficial to Government agencies and offices.
Government archives and archiving needs are often complex. With budgets to meet and requests coming from various locations and requestors, maintaining control is often a challenge.

To add to the complexity are the various government regulations and ever increasing volume of information. Many government agencies require a trained archivist to handle their more sensitive information. At GRM we can take on as much or as little of the information management process as necessary. We help streamline efficiency, establish best practices, or simply store and manage information in one of our secure facilities. We understand that your job is to serve the people; our job is to serve you.

Hard Drive Destruction

There's an interesting (and somewhat disconcerting) article on tech website Search CIO today that discusses the amount of "E-Waste" that's been accumulating since the advent of computer technology. The article is packed to the brim with mind-boggling statistics which include:

- 235 million Electronic Units have accumulated in storage over the past 20 years

- Approx. 40 million computers became obsolete in 2007

- The majority of computers that are "recycled" are actually outsourced to other nations

All of these numbers whole-heartedly support the need for businesses to find greener, more successful ways to dispose of their office electronics. GRM currently provides a definitive hard drive destruction process that will both get rid of your Drives and ensure that the sensitive data within will never fall into the wrong hands. Follow the link above to learn more about the practice on our website.

Internet Fax and the Paperless Office

The topic of the year in the document management industry has been "the paperless office." Document management centers around the world have sought after new and improved methods of digital storage and delivery, with the ultimate goal of eliminating traditional office paperwork all together. Today I ran across an article that discusses Internet fax as the next big thing in a green office space. Much like digital delivery services, eVaulting and a slew of other services offered by GRM - Internet faxing is a great way to significantly reduce the amount of paper floating around your office space.

Monitoring and Archiving Email

This morning I finished reading an article at Computer Weekly that discusses the dire importance of properly monitoring and archiving your company's email exchanges. In truly dramatic fashion, the author of the article states that corporate email is not only a huge problem in the business world, it's also a "legal ticking time bomb."

That being said, there's almost no better way to protect your business than by keeping tabs on your corporate communications and protecting them from getting outside of your personal network. GRM's ProMail Exhcange is powered by eVault and provides our document management customers with a cost effective service to monitor and archive email within Microsoft Exchange environments. As a completely Web-based managed service solution, GRM ProMail Exchange captures, monitors, and archives all email for organizations mandated to adhere to regulatory requirements. If you're currently a GRM client, or considering becoming one soon - ProMail is a service you simply should not be without.

GRM's Many Storage Containers

Today is a bit slow on document management related news, so I thought I'd point you in the direction of one of the more matter-of-fact sections of our website. We've discussed the multi-faceted world that now makes up the document management industry, but the entire business is built on the simple idea of providing businesses a safe and reliable place to store their paper documents and files. And where files are stored, they need to be stored inside of something. At GRM, we utilize a host of different cardboard boxes, plastic containers, and tubes to guarantee that all of your "old fashioned" paper documents stay 100% safe, 100% of the time. You can have a look at the Storage Containers page on our website to see the many selections we have to offer.

Using GRM for Certified Document Destruction

Lock It, Seal It, Secure It

New legislation and regulations are placing increasing demands on the swift and thorough shredding of critical information. Disposing of sensitive documents in traditional waste receptacles or open recycling baskets can put your company at risk. One single piece of information in the wrong hands can cost your company millions. At GRM, we offer secure and certified document shredding and destruction services like carton shredding and bin rotation programs, the most effective and confidential methods for destroying important information.

Carton Shredding

GRM offers you the flexibility of shredding documents currently housed in your office or at an off-site storage facility. Either way, all you have to do is identify cartons designated for destruction with GRM’s unique “GRM Shred Me” label. GRM will then dispatch its fleet and personnel to retrieve the cartons. Document shredding will be performed within 24-48 hours of retrieval, and a Certificate of Destruction is issued upon completion.

Bin Rotation

Why use open wastebaskets or recycling bins when GRM can provide security containers for the safeguarding of critical information? You have two styles from which to choose: a 200-pound capacity, heavy gauge plastic mobile toter or a 100-pound capacity, stationary executive console. Both are locked and tracked by advanced bar code technology. Customized rotation schedules are available and all rotations are performed by GRM personnel and vehicles. Document shredding or destruction is performed within 24-48 hours of retrieval, and a Certificate of Destruction is issued upon completion.

Disaster Recovery

In a post last week, I broke down why it's so important for every business to have a disaster recovery plan in place. That being said, recent events here in the US have once again called to attention how crucial the matter is. Hurricane Gustav blew through Southern Louisiana on Labor Day, and thankfully the damage wasn't as extensive as that of Hurricane Katrina.

Even still, as citizens and business owners of New Orleans and other cities and villages in the state return home and to work - a large majority will remain without power for at least the next few days. Some businesses are structured to handle being closed for a week at a time . . . but the vast majority of them are not. A disaster recovery plan from someone like GRM is the perfect solution to a problem like this. Any business covered that utilizes a system like eVault would have access to all their crucial documents from a remote location. A hurricane is certainly a rare occasion, but a power outage on a small scale can occur at any place or time. Is your business ready?

Hope all the readers of the GRM Document Storage Blog had a great Labor Day weekend. GRM was fully functioning yesterday, though not blogging. One of the many positive aspects of employing GRM to handle your businesses document management program is that we're available to you even on days when no one else is expected to be in the office.

To ease everyone back into the 9-5 flow, I decided to keep things simple today. The convention takes place from October 20th through the 23rd, and we hope to provide helpful information and answering any questions that attendees may have about the many services we provide.
