What Technology Does GRM Use?
Since our inception, GRM has employed 100% use of barcode technology. Each storage container and shelf location is assigned a discrete barcode number, assuring 100% accurate tracking and monitoring. Online document imaging services, including complete database capabilities afforded by our web-based eAccess inventory control and order request application, are user friendly and give access to a multitude of useful standard and customized activity reports.
All records center personnel are equipped with laser scanners. Similarly, each GRM driver is outfitted with a laser scanner and portable printer to output scanner-validated receipts. Plus, he carries a wireless radio to maintain contact with the Dispatching Group. All deliveries and pickups are monitored in real time via Digital Dispatch, GRM's proprietary, real-time fleet management and performance software. Overseeing all of GRM's scanning and document management technology is full-time, in-house IT Group including Application Developers, Systems Engineers and Telecommunications Specialists.
Why Use Document Storage, Anyway?
In a business world dominated by concepts like the paperless office, spending extra company funds to provide off-site document management may seem excessive. However, day to day life in the average American office still produces more than enough paperwork and hard copies to make document management a viable option.
Below are a few recent statistics about the average American office which speak volumes about how important safe and secure document storage is.
1. The average American executive wastes approximately six weeks a year searching for misplaced paperwork and files.
2. 80 % of filed papers are never referenced again, and 50% are duplicates of expired information.
3. Despite the common belief that the office is close to going 100 % paperless, 80% - 90% of all information in the average American office is still maintained on paper.
4. Introducing email into an office actually increases paper printing by up to 40 %.
5. Consistently over the past 20 years, paperwork management ranks as the number one time-waster in corporate office surveys.
What is Online Document Storage?
One of the recent trends in document management is online document storage. These services and programs offer some of the benefits of traditional document storage centers, minus several that are crucial to most businesses. Although employing an online storage service or particular software that organizes and backlogs your files can be helpful, these programs still do not eliminate the problem of the massive amounts of hard copies most businesses still produce on a day to day basis.
One may consider using an online document storage program in conjunction with a more traditional storage center, but using a storage facility that offers scanning services and digital delivery effectively cuts out the need for both.

Disaster Recovery Planning
I just came across a very in-depth article on why a disaster recovery plan is so important for modern businesses. The article, posted on
eWeek.com, goes into detail about the growing need for companies of all sizes to prepare a disaster recovery plan. Sighting instances as wide-spread as Hurricane Katrina, 9-11 and the massive Tsunami in Thailand as recent examples of cities (and businesses) being hit by massive natural disasters.
After reading this article, I'm sure you'll begin to see more clearly than ever why choosing
GRM to tailor a document management & disaster recovery plan for your business is more important than ever. I've linked to the entire article above, but have a look at this brief excerpt first.
"
Data storage planning for a disaster of any sort used to be a relatively simple process: The IT staff would back up all important current business data onto extra disk drive servers every night or weekend; transfer older information onto archive tape once a week or month; then watch Iron Mountain or a similar service come take the cartridges away and store them in a cool, dark place where the data would likely never be seen again."

Document Storage vs. Self Storage
Protecting your company’s critical documents and files is of the utmost importance. Traditional self storage facilities are great for office furniture, but the majority of these facilities are not appropriately equipped to handle document storage. GRM tailor’s each of our clients’ document management programs to fit their businesses specific needs, and we offer a level of security and control that go above and beyond any self storage facility.
GRM’s Document storage and management programs differ from traditional self storage because our entire system is designed to handle the complex nature of storing paper and electronic documents. Unlike office furniture or household items typically placed in storage – paper documents are highly volatile. Your important files require very specific environmental features to ensure they stay in pristine condition, and our facilities are specifically designed to meet all of these needs.
In addition to our traditional document storage, we also offer certified document destruction, data protection and cutting-edge scanning and digital delivery services. Our customized digital archival and retrieval system goes above and beyond anything offered by self storage facilities. Every document entrusted in our care is scanned, bar-coded and digitally filed – a process that allows you to access your important documents via our secure website day or night, anywhere in the world.
GRM Provides Quality Electronic Vaulting Services
Servers can fail, disks may crash, data can become corrupted, people make errors, and there are always viruses out there. For businesses today, these risks make the need to recover electronic documents inevitable. At GRM, we offer highly reliable, off-site data protection and digital document archiving services that assure fast and accurate restoration following data loss or destruction.
Off-site Data Protection Technology
GRM eVault is a completely secure, fully automated backup and recovery solution for your electronic data. Utilizing industry-leading digital document archiving software, GRM eVault recognizes and captures changes to files (at the block level), encrypts the data for enhanced security and compresses it to minimize transmission time. The encrypted data is then sent over the Internet or private telecommunication lines to highly secure off site Mass Storage Vaults.
Ease of Use
At GRM, we are passionate about service that makes your electronic and digital documents more secure. Our GRM eVault model allows you to easily manage backup retentions with a customizable frequency calendar so you can focus on other activities and leave the data protection to us. Restores are likewise hassle-free. Through a few mouse-clicks, you will select what data you want restored through a step-by-step wizard and familiar looking index of directories, folders and files. It’s critical data protection made simple.
Security
In the course of eVaulting, only changed blocks are compressed, encrypted and pushed outbound to a secure storage vault. The data vault is designed to only receive data by a predefined authentication process making it a proprietary connection between source and vault. Data stays encrypted at all times and is deciphered solely by your encryption key. On the data vault side, redundant EMC storage arrays are monitored around the clock with early-warning notification procedures should hardware exceed fault tolerances.

How Familiar are you with Document Destruction Regulations?
Fox Business's website posted an article today on the general lack of understanding amongst large businesses of federal and state level regulations regarding document destruction. According to a recent poll, 75 % of the executives questioned claimed they had a working knowledge of federal
regulations, but only 30 % of them had a clue what
FACTA was. Here's a brief excerpt from the article:
"Some companies will soon have to contend with a new set of
FACTA mandates from the FTC. Effective Nov. 1, 2008, financial institutions and creditors must have a formal program for preventing identity theft. Commonly known as the Red Flag Regulations, these new guidelines require companies to identify and account for "red flags," defined by the FTC as "patterns, practices and specific forms of activity that indicate a possible risk of ID theft.""

Australian Companies Not Hopeful about Paperless Prospects
In a recent
report out of Australia - studies have shown that attaining a truly "paperless office" is a lot harder for small businesses than initially hoped. We at
GRM pride ourselves on helping companies to make the transition to paperless operations, but lets face it - technology is not ready to handle an office with zero hard copies or files. That's why we're equipped to handle electronic data management, as well as traditional document storage.
The article from the Australian site discusses how the theory of the paperless office looks good on paper, but isn't panning out like it's supposed to for many small to medium sized businesses. Here's a brief quote from the article:
"According to a survey of 260 small, medium and large Australian companies, more
hard copies of documents are being produced today than there were five years ago."
If you're interested in reading the article in its entirety, I've provided a link near the top of this post.
